Manual Calculation Method
To calculate elapsed time without a tool:
Convert both times to 24-hour format – This eliminates AM/PM confusion. 3:30 PM becomes 15:30.
Subtract start time from end time – If start was 09:15 and end was 14:45:
- 14:45 − 09:15 = 5:30 (5 hours, 30 minutes)
Handle crossing midnight – If the end time is earlier than start time, you’ve crossed midnight:
- Start: 22:30, End: 06:00 next day
- Add 24:00 to the end time: 06:00 becomes 30:00
- 30:00 − 22:30 = 7:30 (7 hours, 30 minutes)
Convert to desired units – Divide total minutes by 60 for decimal hours:
- 5 hours 30 minutes = 5.5 hours
- 7 hours 30 minutes = 7.5 hours

Tips for Accurate Time Tracking
Use consistent time format – Stick to 24-hour format (HH:MM:SS) to avoid AM/PM errors that cause 12-hour discrepancies.
Record start and end times immediately – Don’t rely on memory. Note times as events happen to prevent rounding or estimation errors.
Account for breaks separately – If calculating working time, subtract lunch, breaks, and non-billable periods from total elapsed time.
Double-check midnight crossings – When activities span late night into early morning, verify that your calculator or manual math includes the full 24-hour cycle correctly.
Round appropriately for context – For billing, use exact minutes or decimal hours (2.75 hours). For general tracking, rounding to the nearest 15-minute increment is standard in many industries.
